The Event Builder
Creating and managing events on UniTix is powered by our multi-layered Event Builder. Whether you are running an exclusive workshop for 50 students or a campus-wide festival for 5,000, the builder gives you complete precision over capacity, inventory limits, and promotional assets.1. Step-by-Step Event Creation
- Navigate to Events in your dashboard sidebar and click Create New.
- Basic Information: Enter the Event Title, Category, Date, Start/End Time, and Physical Venue (or Virtual Link).
- Rich Description: Write a compelling event breakdown. Highlight guest speakers, agendas, and key highlights.
- Hero Banner: Upload a high-resolution 16:9 banner image (
PNG,JPG, orWebP). This serves as the primary billboard on your public event page and student marketplace.
2. Overall Venue Capacity vs. Ticket Tiers
One of UniTix’s most critical safety features is our Double-Capacity Protection System:Overall Event Capacity (The Hard Stop)
You must specify the maximum safety capacity of your venue (e.g., 500 attendees). Regardless of how many individual ticket tiers or allocations you create below, the entire event automatically halts sales the exact millisecond the sum of all sold tickets reaches your Overall Capacity. This prevents physical overcrowding and fire safety violations.Capacity Reduction Guard
If you ever need to edit an existing event and reduce its capacity or tier quantities, UniTix strictly blocks you from reducing capacity below the number of tickets already sold. For example, if you have already sold 320 tickets, attempting to set the capacity to 300 will immediately return a validation error, safeguarding already-confirmed attendees.3. Configuring Ticket Tiers
Create flexible pricing strategies to maximize attendance:- Scroll to Ticket Tiers and click Add Tier.
- Name & Pricing: Set clear tier names (Early Bird, VIP Front Row, General Admission, Student Member) and specify the exact price in
PKR(enter0for free events). - Tier Inventory Limit: Set the maximum allocation available specifically for this tier.
- Per-Student Purchase Limits: Specify how many tickets a single student account can purchase in one order to prevent scalping or unfair hoarding.
- Sales Scheduling: Optionally configure automated release schedules with exact Start Sales and End Sales timestamps.
4. Automated Waitlists
When an individual ticket tier or the overall event reaches 100% capacity:- The checkout button automatically transforms into Join Waitlist.
- Students can join the waitlist with one click.
- If an existing attendee cancels their ticket or their payment verification expires, our automated reallocation engine immediately reallocates that inventory slot and notifies the next student in line.
5. Linking Corporate Sponsors
Showcasing brand partners adds immense credibility and helps fulfill sponsorship deliverables:- Navigate to the Sponsors tab in your dashboard sidebar to upload sponsor logos and names.
- In the Event Builder, scroll to the Sponsors dropdown.
- Select any relevant corporate partners to link them directly to the event. Their logos will render prominently in the “Supported By” section across all public event details and digital check-in passes.
