Popular university events, guest lectures, and concerts frequently sell out within minutes of going live. Instead of forcing students to refresh the page endlessly or rely on unfair manual lists, UniTix features an Automated Waitlist & Reallocation Engine.

1. How the Waitlist Triggers

When an event’s overall venue capacity or a specific ticket tier’s inventory limit reaches 100% Sold Out:
  • The standard Buy Ticket / Get Free Ticket buttons automatically convert into Join Waitlist.
  • Any verified student can click Join Waitlist with one tap.
  • You are added to a structured chronological waitlist queue, timestamped to the exact millisecond you clicked.

2. Automatic Inventory Reallocation

Our automated reallocation engine monitors event inventory 24/7. A sold-out slot automatically reopens whenever:
  1. A Student Cancels: An existing attendee clicks Cancel Reservation inside their dashboard.
  2. A Payment Receipt Is Rejected: An organizer rejects a pending manual payment screenshot (pending_payment -> cancelled).
  3. An Organizer Increases Capacity: The society expands the venue limit or adds additional seats to a tier.

The Instant Reallocation Workflow:

  1. Queue Check: The moment a slot frees up, the backend queries the waitlist for the #1 student in line for that specific event and tier.
  2. Reservation Lock: The slot is immediately reserved for that student, removing them from the queue and locking the ticket under their profile (status: waitlist_claimed or pending).
  3. Instant Notification: The system dispatches an urgent SMS and Email alert: “Good news! A ticket for [Event Name] has become available and is reserved for you.”

3. Claiming Your Reallocated Slot

Once you receive a waitlist reallocation notification:
  • Free Tickets: If the ticket is free, the system automatically marks it Approved and deposits the digital QR pass into your My Tickets dashboard immediately!
  • Paid Tickets: If the ticket has a cost, you are given a 24-Hour Exclusive Claim Window. You must log into UniTix, complete the checkout, and upload your payment screenshot before the countdown timer expires. If you miss the window, your reservation lapses, and the slot is automatically offered to student #2 on the waitlist.
